Forum Welcome Table help needed

I am not doing any of the workshops on Thursday so can be there part of the day (would like to do other things that day as well, but part of the day I can cover).

Tomorrow I will be making a non-editable Google spreadsheet so that we can figure out who covers when. It will include who is speaking at what time so that if there is someone you want to see you know when that will happen. People can message me and let me know when you want to cover the table and I will edit the spreadsheet accordingly. I will post the link when I get it done tomorrow.

Wowbagger, would you be okay with being a co-editor?

My schedule is still in flux, but my volunteer shifts also don't match Wowbagger's, so I can also be at the table when he can't and at various other times will be happy to hang out at the table, but can't really commit to specific times yet. Bumlet5's spreadsheet will be helpful to coordinate things. Thanks for that!

Spreadsheets are done.

Forum Table Coverage Sheet

Please PM either Wowbagger or myself the slots you would be available or would prefer to be at the table. Color coding key is at the top of the page.

If multiple people could sign up for things like the Welcome Reception, they can take turns going into the event. I think it would be okay if the table wasn't covered for some bigger talks now and then, but for the most part people are coming and going so let's try to keep it covered as much as possible.

We will also be putting together a Contact Sheet so that we can contact each other during TAM. With the PM about times, please let us know the following:
Name
Phone
Email
Text or Email Preferred?

There have been plenty of times during big talks when there was no one sitting at the table, so don't sweat it. You just want to make sure that when there are likely to be people wandering about the tables someone is there.

Strategically, we should set up the table so that, theoretically, it wouldn't necessarily need to be manned at all. Of course, it SHOULD be manned as much as possible, especially (as Kochanski says) when there are likely to be people wandering about.
By coincidence, those wandering-about time zones are also when I will most likely be able to sit at the table, myself. Most of the time.

But, we should make sure the table can mostly handle itself when it is not manned, just in case. I think that means leaving lots of instructions around.

Perhaps we can run off a flyer about the site, of some sort?

A flyer or some kind of materials that people can take with them sounds like a good idea. But I think we'll need to check with our lord and master icerat to see what he would like to do. :D I wonder--is he even aware that we're planning on having a forum table at TAM?

Looks like the section that could use the most help is the Thursday workshops. I have an all-workshop pass, and I would like to use it. But, since it is such a critical time to be Forum Friendly, I will have to limit myself if no one else is available.

I like the idea of taking turns during the receptions. Hopefully, the table won't be too far from it. (Actually, if it is, there might not be anyone mingling near it very much, anyway.)

bumlet seems to think the evening shows won't need much coverage. I might slightly disagree, though it depends on the location of the table. If it's close by, there will likely be a bunch of people milling about during the shows.
I can stay there for Thursday show since I already saw the Nigerian thing. But, the other evenings I am formulating plans for: Either at TAM or outside of it.

Considering that the evening shows are things that people have to pay for separately, I figure that the people who paid for them wouldn't be milling about during it. People who didn't pay for it might be, but I couldn't imagine too many. They would more likely be in the bar or out on the town.

Wowbagger, I put myself as double coverage during lunches. I didn't pay for the meal tickets so I have to go somewhere else. I figure we can split the lunches and each get a half-lunch. We can figure out details later. On Friday and Saturday if you want to take the morning breaks, I'll take the afternoon breaks (I'm not much of a morning person) so we can each mill around some.

I am not doing workshops, so I'll spend most of my continuous time block there. If someone would be willing to sign up to trade off with me during the Welcome Reception so that we can all enjoy it while still covering the table for millers, I would buy you a beer-priced drink of your choice.

Depending on logistics, it might be a good idea to man the table, at least before the shows start.

While at the South Point, there was plenty of table schmoozing before the shows started. I don't know where the table is going to be in relation to the stages, this time. But, if it's nearby, it could be the same situation.

Kitty and I never covered the table for evening shows. All the rest of the tables shut down once the conference schedule for the day is done, so there is no reason to be there really. During the reception might be good as people will still be arriving then, but other days, no, you don't need to cover the table during evening events.

I can help out with early morning as well on Saturday and Sunday. I'm usually at work by 5am every day, so I'm an early bird.

Just put me in where you need me. Only not during talks, unless it's Shermer. I think I can cover the hours that Wowbagger is doing registration on Thursday, because my shift comes after his.

No one has gotten back to me on possible flyer design. If no one does, I could put together a simple sheet to hand out, with the forum's logo, URL, and perhaps a slogan or something. Nothing fancy. I could post a draft soon, if anyone wants to see it.

What hours are you doing registration?

Kil, I listed you as double coverage 9-12:15 on Thursday. Wowbagger will be there 9-10:30 (part time) and I will get there at 10:30.

The Mutha, I listed you Saturday and Sunday 7-8:45 with Wowbagger.

Please check The Schedule to verify.

Would someone be willing to volunteer to be double coverage during the Welcome Reception with me? We can take turns going in.

By the way, I don't think kittynh nor icerat ever got back to me about anything.

Does anyone know if we have basic supplies? A tablecloth and banner for the booth, for example?

At least Kochanski has been answering my queries. Such a nice person!
